Household Recycling Centres privacy notice

This privacy notice relates to both the waste permitting and booking services provided by Cambridgeshire County Council. By completing either application process you are agreeing to the use of your personal data as outlined below.

Everything we do with information about living people – such as how we collect it and who we share it with – has to comply with the Data Protection Act. A key part of this is being open about how we use information and what rights you have in respect of information we hold about you.

What Information do we hold?

Personal data is required during the application process. The information requested will be the minimum necessary in order to provide the service effectively. We collect the following personal information:

  • Name
  • Address
  • Email Address (optional)
  • Vehicle Registration number

Why do we have it and what do we use it for

Personal data is required during the e application process for the purpose of administering the scheme and notifying you of issues that might affect use of Household Recycling Centres.

We ask for name and vehicle information to log the booking request or provide a permit. The council is required to provide the service for its residents only and therefore we ask for an address to ensure that this service is only used by residents.

Whenever we use information, we always limit this to only the details that are needed and we ensure that it is used safely and securely.

Access will be limited to individual staff responsible for administering the scheme and regularly reviewing access lists. Data is stored on a cloud-based server in the UK, so will not be held locally on devices used to access the system. Information will only be stored electronically and will not be printed.

Who we share information with and why

The software provider processes the personal information on our behalf as we are the Data Controller. The provider has the same legal obligation to comply with GDPR and their contract contains a set of data protection clauses which governs how they process personal data of on our behalf. In addition to the e-permit software provider, personal data provided for may be shared with (in addition to any other disclosure required by a Law or in response to a valid request a law enforcement agency):

  • other companies or organisations appointed to carry out services on our behalf in connection with waste permits (for example, a replacement software provider);
  • Other local authorities; and
  • Government departments

Vehicle registration numbers only will be provided to our Household Recycling Centre operator for the purposes of recording visits to sites.

How long we keep hold of information for?

E-permit and booking information will be stored electronically on file for a period of 15 months from the date of your application following which the data will be automatically destroyed. A further 15-month period will commence if you renew your e-permit from the date of renewal.
